Complete the invitation facts before copying
Freeze the eligible group, organiser role, voluntary opt-in deadline, exact spending ceiling, what the ceiling includes, permitted and excluded categories, draw date, private notification method, purchase deadline, exchange location and time, non-attendance route, withdrawal fallback and organiser-private deletion date.
Use the Secret Santa rules and planner to validate the exchange first. An invitation communicates an accepted design; it cannot repair a public draw, incomplete category, unaffordable expectation or unsupported workplace process.
Do not send placeholders, vague “small gift” wording or a deadline without a time zone for a remote group. If a fact is not decided, keep the invitation in draft and use the provisional save-the-date template only when that is truthful.
Templates 1–3: friends, family and a small office
Template 1: friends or family Secret Santa
We’re planning an optional Secret Santa for [group/event]. If you would like to join, reply privately to [organiser route] with “accept” by [date and time]. You can simply decline; no reason is needed.
Each accepted person will buy one gift for one privately assigned recipient. The maximum is [£ amount], including [delivery/wrapping rule]. Gifts must follow [permitted categories] and exclude [excluded categories]. Assignments will be sent privately on [date]. Please have the coded gift ready for [handover place and time]. Full rules and the withdrawal route: [private or accessible location].
Template 2: family exchange including dependants
We’re checking interest in a voluntary family Secret Santa for [event]. Please reply privately by [deadline] for each eligible household member you are authorised to include: accept or decline only; no explanation is needed.
The ceiling is [£ amount] per accepted participant and means a maximum, not a target. The category is [rule], with [age/suitability and excluded-item boundary]. [Responsible adult role] remains responsible for any dependant’s participation and gift decision. Private assignments go out on [date]; exchange is [place/time or missed-event route].
Template 3: optional workplace Secret Santa
[Organisation/organiser role] is offering an optional Secret Santa alongside [approved event]. Participation is not expected and will not affect work or the event. Reply privately to [approved route] with accept or decline by [deadline]; do not reply all, and no reason is requested.
The maximum gift cost is [£ amount], including [cost rule]. Permitted: [categories]. Excluded: [workplace-approved exclusions]. Assignments will be sent individually on [date]. Gifts should use the issued code and reach [controlled handover] by [deadline]. Questions or concerns go privately to [accountable role/process].
Templates 4–6: remote, category and no-purchase exchanges
Template 4: remote Secret Santa
Would you like to join our optional remote Secret Santa? Reply privately to [organiser route] by [deadline and time zone]. Accepted participants receive one private assignment on [date]. The gift ceiling is [currency and amount], including [delivery/tax rule].
Do not share a home address in the group. Delivery will use [approved private address or digital handover process]. Permitted categories: [list]. Excluded: [list]. The send-by deadline is [date/time zone], and the no-delivery fallback is [route].
Template 5: fixed-category exchange
This year’s optional Secret Santa uses one category: [exact category and condition rule]. The maximum is [£ amount] including [cost treatment]. Before accepting, please check that this category works for you; questions can go privately to [organiser].
Reply accept or decline by [deadline]. Private assignments arrive [date]. Exclude [specific boundaries], keep exact product information attached and use the coded handover at [place/time]. If the category cannot work after the draw, contact [private route] before buying.
Template 6: no-purchase exchange
We’re proposing a voluntary no-purchase Secret Santa. The permitted gift is [card/authorised digital item/suitable existing object] under these exact rules: [condition, rights, value and property boundaries]. Nobody is expected to give away something they wish to keep or create unpaid work.
Reply privately by [deadline]. Assignments go out on [date], and coded gifts are exchanged [place/time]. No cash purchase, public performance, personal disclosure or unapproved recording is part of this format.
Templates 7–10: provisional, reminder, revision and cancellation
Template 7: provisional save the date
Provisional only: [group] may run an optional Secret Santa at [event/date]. Please do not accept, buy or send preferences yet. The participant scope, ceiling, gift rules and handover are not final. A complete invitation will follow from [organiser role] by [decision date], or we will confirm that the exchange is not going ahead.
Template 8: final opt-in reminder before the draw
Reminder: the optional Secret Santa opt-in closes at [date/time]. Our current record shows your response as [accepted/declined/unanswered]. If that is wrong, reply privately to [route] before the deadline. No response will remain unanswered and will not enter the draw. Rules: [current revision/link].
Template 9: material rule change and fresh decision
Replacement Secret Santa message—do not rely on revision [old ID]. [Participant scope/ceiling/category/date/handover] has changed from [old fact] to [new fact]. No purchase should be made from the earlier message.
Please make a fresh private accept or decline decision by [deadline], even if you replied before. The draw will use only acceptances for revision [new ID] and will be released after [date]. Full replacement rules: [route].
Template 10: exchange cancelled
The [revision] Secret Santa will not go ahead. No draw or purchase should now be made. If you already committed money or shared information, contact [private accountable route] by [deadline] for the actual next step. Do not post purchase, recipient or personal details in the group. We will close the organiser record under [retention/deletion process].
Keep replies and preferences off the group thread
Use the group message only for the approved invitation, neutral reminder and complete replacement. Direct replies to one authorised private route. Ask for accept or decline, not a reason. Do not request religion, health, finances, body information, relationships, home address, detailed biography or a public wishlist by default.
| Message | Audience | Minimum content | Never include |
|---|---|---|---|
| Invitation | Eligible group | Optional status, rule summary, private route and deadline | Participant list, preferences or assumptions about acceptance |
| Private acceptance record | Organiser only | Current revision and accepted/declined state | Reason for refusal |
| Assignment | One participant | Current revision, recipient code or private identity, rules and help route | Full map or another giver’s assignment |
| Handover label | Controlled exchange | Current gift code and handling state | Public giver name, cost or private note |
The ICO’s data-minimisation principle requires personal data to be adequate, relevant and limited to what is necessary for the stated purpose. The accountable organiser must decide the actual lawful basis, security, access and retention; copying this wording does not approve a data process or platform.
Separate food, gifts and workplace boundaries
If food or drink is allowed, the invitation should require exact original product information to remain attached and offer a complete non-food route. Do not describe a gift as allergy-safe, remove labels, repackage it or infer that vegan labelling proves suitability for an allergy. The intended recipient and exact product information remain controlling.
For a workplace, the accountable employer decides whether the exchange, scope, categories, spending ceiling, communication, safeguarding and complaints route are appropriate. Keep participation voluntary and private. A cheerful tone, low ceiling or charity alternative does not remove employment, equality, conduct or data responsibilities.
For electrical, toy, candle, cosmetic, battery, alcohol, second-hand or age-related items, use precise setting-specific exclusions and an organiser check route. The invitation is not a product-safety assessment; check the exact item, condition, instructions and current recall information where appropriate.
Check a fictional 12-person invitation release
This fictional friends-and-family group has 12 eligible people. Nine have accepted, one declined and two remain unanswered at 18:00 on 15 November. The draw is scheduled only after the 20:00 deadline. These details demonstrate state control, not a recommended date or group size.
| Release question | Current evidence | State |
|---|---|---|
| Is participation voluntary? | Invitation asks for private accept or decline and requests no reason | PASS |
| Is the participant set frozen? | Two replies remain unanswered before the deadline | WAIT |
| Is the ceiling exact? | Maximum £15 including wrapping; delivery excluded because handover is in person | PASS |
| Are categories complete? | Permitted and excluded lists approved; food has a non-food fallback | PASS |
| Can the draw be sent? | Blocked until 20:00 and a valid current-revision permutation | BLOCK |
At 20:00, unanswered remains not accepted. The organiser freezes the nine-person set, validates a new one-to-one map, then sends nine separate assignments. They do not publish “who is in”, chase reasons or add a late participant by patching the released chain.

Replace every bracket from one fictional approved brief, then change the ceiling, category and exchange time after three acceptances. Another person must stop the old revision, issue a complete replacement, collect fresh decisions and verify that no assignment or personal detail appears in the public message.
Questions people ask
What should a Secret Santa invitation say?
State that participation is optional, who is eligible, the private response route and deadline, exact spending ceiling, cost treatment, permitted and excluded gifts, draw date, private assignment method, purchase deadline, handover and withdrawal route.
How do you ask people to join Secret Santa?
Ask for a simple private accept or decline by a clear deadline, say no reason is needed and treat no response as not accepted. Do not publish participation states or use group pressure.
How do you word a Secret Santa price limit?
Use “The maximum gift cost is [£ amount], including [wrapping/delivery rule]. It is a ceiling, not a target.” Also explain how discounts, handmade items, second-hand items and gift receipts are treated if relevant.
What do I send when Secret Santa rules change?
Send a complete replacement stating the old and new revision, exact changed facts, that the earlier message must not be relied on and whether previous purchases should stop. Collect fresh private decisions before redrawing.
Can I send a Secret Santa invitation in a work group chat?
Only through the organisation’s approved process and after its accountable review. Keep participation voluntary, direct responses and concerns privately, collect the minimum information and never post the draw or private preferences in the group.
What should I write if Secret Santa is cancelled?
State clearly that the named revision will not proceed, no draw or purchase should now be made, and provide a private route for existing commitments or shared information. Do not discuss recipients, purchases or personal details publicly.
