Choose the party route before making promises
Start by recording whether this is a private gathering at home, a private booking at a venue, a workplace event or a community/public event. That distinction changes who controls the room, alcohol, entertainment, food, access and closing arrangements.
For a venue, ask for the current written capacity, access window, included furniture and equipment, food and drink rules, licence position, accessibility information, full cost, cancellation terms and final-order deadlines. Do not assume a booking confirmation proves every activity is permitted.
Workplace, public, ticketed, charity and regularly organised events can carry additional duties. Use the venue, employer, relevant local authority and current official guidance to establish the real requirements.
Build one guest and event brief
Use the party guest count planner to separate confirmed, working and maximum scenarios without entering personal names. Record:
- the event format, date, access window, guest arrival and finish arrangement;
- confirmed, pending and maximum adults and children;
- whether food replaces a meal and the promised service format;
- dietary, access, sensory, transport and alcohol-free arrangements accepted by the relevant guest;
- rooms in use, measured capacity, necessary routes and outdoor boundaries;
- the fixed affordable total and the person or role allowed to commit it.
Give the brief a revision such as CP-04. If a guest, venue rule, supplier, menu or finish time changes, update the brief first and mark every affected quantity, budget and handover row for review.
Protect the budget from festive extras
Use the budget calculator to allocate one total, then record full commitments—not merely deposits—in the party budget register. Keep venue, food, drinks, transport, equipment and a protected contingency visible.
MoneyHelper recommends setting a Christmas budget and warns that borrowing can add interest and fees. Decide what the household can afford before choosing the venue or menu. Decorations, favours and upgrades remain optional until the complete essential plan still fits.
| Cost state | Record | Do not confuse with |
|---|---|---|
| Allocated | Maximum available for the category | A quote or a purchase |
| Committed | Full accepted obligation | Deposit already paid |
| Paid | Amount actually transferred | Total remaining liability |
| Contingency | Protected amount for accepted surprises | Spare decoration money |
Choose the food format before calculating quantities
A drinks reception, sandwich buffet, fork buffet and sit-down meal make different promises. Choose one primary format and use the Christmas party food quantity sheet to convert likely selectors into exact dish targets and whole packs.
Ask about dietary requirements before buying. Keep the current label or complete recipe attached to each dish, and keep controlled dishes and utensils distinct. The Food Standards Agency advises keeping foods normally chilled at home cool at a party, avoiding cross-contamination and checking guest allergy needs.
Do not use the duration of the party as a universal food-safety timer. Exact product instructions and current official guidance control storage, preparation, cooking, service and leftovers.
Plan drinks, travel and the room as separate systems
Use the drinks calculator to plan available stock with water and appealing alcohol-free choices. It does not recommend consumption or decide whether anybody can drive, supervise or work safely.
For a hired venue, record the exact bar, corkage, age-checking, last-order and closing arrangements supplied by the venue. GOV.UK says alcohol licensing depends on the event and premises; the relevant local authority and venue remain in control.
Measure the real room and use the seating calculator only as an early geometry check. Stage coats, bags, decorations, food, drinks and dirty returns while every necessary entrance, toilet and exit route remains usable.
Build the run sheet from dependencies
Use the Christmas party run sheet and party timeline calculator for clock arithmetic. A time is ready only when its dependency is supported:
- access opens only on current venue or household evidence;
- food opens only when the exact dish and service state pass;
- entertainment opens only when the room and supplier are ready;
- travel closes only when every agreed group has a current route;
- the event closes only when guests, food, appliances, rooms and keys reach their accepted end states.
If a dependency fails, use the named fallback. Moving a clock does not repair missing evidence.
Print the Christmas party release register
| ID | Decision / checkpoint | Evidence | Owner role | Due / trigger | Release condition | Fallback | State |
|---|---|---|---|---|---|---|---|
Useful rows include venue, guest scenario, fixed budget, exact menu, controlled dishes, drinks, room, entertainment, travel, final food handover and close-down. Use roles and neutral IDs rather than names or private guest details.
Questions people ask
What should a Christmas party checklist include?
Include the event route, guest scenarios, fixed budget, venue evidence, exact food format and quantities, drinks and alcohol-free choices, room and routes, entertainment, travel, owner handovers, fallbacks and close-down.
How early should I plan a Christmas party?
There is no universal countdown. Work backwards from the real venue, supplier, order and RSVP deadlines, but close each decision only when its evidence and dependencies are ready.
How do I budget for a Christmas party?
Set one affordable total before booking, allocate every pound, record the full value of accepted commitments, track what has actually been paid and protect a contingency from optional extras.
Do I need a licence for a Christmas party?
It depends on the venue, whether alcohol is sold or supplied, entertainment, charges and the jurisdiction. Ask the venue and relevant local authority about the exact event rather than relying on a generic party label.
How do I organise food for a Christmas party?
Choose whether it is a reception, sandwich buffet, fork buffet or meal, count likely selectors for each exact dish, convert the target to whole packs, then prove storage, service, labels and controlled utensils separately.
How should a Christmas party end?
Use a named close-down handover for guest travel, food, alcohol, appliances, keys, rooms, rubbish and supplier collections. The advertised finish is not proof that every person or resource has reached its safe end state.
