Complete seven decisions before copying a template
- Format: home gathering, buffet, drinks reception, games, venue booking or another defined event.
- Guest scope: exactly who the invitation includes and whether guests may bring anyone else.
- Clock: date, arrival window, food time and honest finish or collection time.
- Place: full address, entry instructions and verified access facts.
- Promise: food, drinks, activities and anything guests are genuinely expected to bring.
- Requirements: a private, monitored route for dietary, access or other practical needs.
- Reply: one deadline, response method, update channel and cancellation contact.
Build the event in the Christmas party checklist first. An invitation does not prove capacity, food suitability, travel, licensing or safety.

You’re invited to a Christmas gathering at [full address] on [date], arriving from [time] and finishing by [time]. We’ll provide [exact food and drink promise] and [activity, if confirmed].
This invitation is for [guest scope]. Please reply [yes / no / pending] by [deadline] through [private reply route]. If you want to discuss access, dietary or another practical requirement, use the same private route rather than a group message.
Arrival and journey details: [parking/public transport/drop-off/entry facts]. Updates will come through [channel].
Template 2: Christmas buffet
Join us for a Christmas buffet
Come to [address] on [date] from [arrival]. The buffet is planned for [service window], and the gathering finishes at [time]. We’ll provide [buffet format], water, [alcohol-free offer] and [other drinks arrangement].
Please respond by [deadline] with [attendance and approved guest count only]. Send dietary or access requirements privately to [monitored route] by [requirements deadline]. Please do not bring unplanned food without checking first because the menu, storage and serving plan are already being controlled.
Templates 3 to 5: drinks, alcohol-free and games
Template 3: drinks and canapés
Christmas drinks and canapés — reply by [date]
Join us at [place] on [date], [start]–[finish], for [exact canapé and drink offer]. Water and [alcohol-free range] will be available throughout. [Alcohol arrangement stated without promising unlimited supply].
Reply through [private route]. Tell us privately about a dietary, access or travel requirement by [date]. Journey-home information: [verified facts]. If you plan to drive, do not drink alcohol and arrange another means of transport if drinking.
Template 4: alcohol-free Christmas social
Alcohol-free Christmas gathering
You’re invited to an alcohol-free Christmas social at [place] on [date], [start]–[finish]. We’ll provide [food], [named alcohol-free drinks] and [confirmed activity].
[Guest policy]. Reply by [deadline] through [private route]. Contact [monitored route] privately about access, dietary or travel requirements.
Template 5: party games evening
Christmas games and supper
Join us on [date] at [address], from [start] until [finish]. We’ll serve [food] at [time] and run [brief game format] during [game window]. Joining a game is optional; watching, scoring and a quieter [named alternative] are available.
Please reply by [deadline]. Send any practical requirement privately to [contact]. The invitation includes [guest scope].
Use the mixed-age games guide to test space, equipment and alternative roles before promising an activity.
Templates 6 and 7: family gathering and venue party
Template 6: family-inclusive early party
Early Christmas gathering for families
We’re hosting [format] at [place] on [date], [start]–[finish]. This invitation includes [exact adult and child guest scope]. The responsible adult remains responsible for their child throughout.
We’ll provide [age-described food, drinks and activities]. Reply with attendance numbers and age bands through [private route] by [deadline]. Contact [monitored route] privately before [date] about food, access, seating or another practical requirement.
Entry, buggy/storage, parking and collection information: [verified facts].
Template 7: booked venue party
Christmas party at [venue]
You’re invited to [confirmed format] at [venue and full address] on [date]. Arrival is [window], food is [service time], and the booked guest finish is [time].
The booking includes [exact food, drinks, entertainment and cloakroom offer]. Dress information: [practical wording only]. Guest policy: [exact rule]. Reply by [deadline] through [route].
Verified venue access, entry and travel: [facts or controlled link]. Send requirements privately to [host route], not directly to a public guest list.
A private venue booking can still have contract, capacity and permission boundaries. Public, ticketed, charity, alcohol-selling or other organised events need the exact venue, local-authority and professional route; this template does not determine licensing.
Templates 8 to 10: Christmas Eve, save-the-date and update
Template 8: Christmas Eve buffet
Christmas Eve buffet — [date]
Join us at [address] from [arrival] until [finish]. Food is planned for [window]. We’ll provide [menu format and drinks]; [bring-something wording, if genuinely needed].
Please reply by [deadline] and contact [private route] about requirements. Because the kitchen and fridge are also reserved for Christmas Day, please check before bringing food or asking to store items.
Template 9: save the date
Save the date: proposed Christmas party
Please hold [date] and [provisional time range]. The venue, format, guest policy and food are not yet confirmed. This is not the final invitation.
We’ll send confirmed details by [date]. If the proposed date or time creates a practical barrier, tell [private contact] by [feedback deadline] without sharing more detail than needed.
Template 10: material change or reminder
Updated Christmas party details — please read
This replaces the invitation dated [old revision/date]. The following approved detail has changed: [venue/time/food/guest policy]. The current event is [complete new summary].
Please confirm or change your RSVP through [private route] by [new deadline]. Contact [monitored route] privately if the change affects a requirement or journey. Do not rely on the earlier message.
Send material corrections through the same channels as the original and label the current revision. A quiet edit to an old post is not proof that every guest saw the change.
Ask only for the RSVP information you need
For a private household party, a simple yes, no or pending reply plus approved guest count may be enough. Ask about detailed needs through a direct, private exchange and share only the minimum operational information with a venue, caterer or helper.
| Decision | Useful reply | Keep out of a group chat |
|---|---|---|
| Attendance | Yes / no / pending and decision date | Pressure, explanations or attendance rankings |
| Guest scope | Approved adult and child counts | Unnecessary profiles or public age lists |
| Food | Private requirement confirmed; exact selector where needed | Health history or assumptions about severity |
| Access and travel | Operational request and private host response | Medical detail, live location or journey tracking |
If the organiser is a business, employer, charity or other organisation, data-protection responsibilities can differ from an ordinary personal household activity. Use the responsible organisation’s approved process rather than copying a domestic RSVP method.
Keep food, drinks and travel claims exact
Describe only the menu the host can support. Ask about requirements early, then use current labels, complete recipes and the relevant guest conversation. The Food Standards Agency’s updated community-event guidance encourages allergen information where possible even where an activity does not need food-business registration, helping people make informed choices.
Use the party food guide and drinks guide after replies close. Do not promise “something for everyone” without exact evidence.
The Highway Code says the best solution when planning to drive is not to drink alcohol and to arrange another means of transport if drinking. An invitation cannot assess impairment or guarantee a journey home.

Ask an uninvolved person to read the final invitation and locate the address, arrival, finish, food promise, guest policy, private contact and response deadline. Then change one material fact and verify that the replacement revision—not a silent edit—reaches the whole invited group.
Questions people ask
What should a Christmas party invitation say?
Include the event format, exact guest scope, date, arrival and finish, full address, verified access and travel facts, food and drink promise, activity details, private requirement route, RSVP deadline and update channel.
How do I word a casual Christmas party invitation?
Use plain language: what you are hosting, where and when, what is provided, who is included and how to reply. Avoid making a casual tone hide the finish time, guest policy or route for food and access requirements.
How do I ask about dietary requirements?
Invite guests to contact the host privately by a useful deadline. Ask what food and controls they need rather than requesting a diagnosis, then confirm suitability using exact labels, recipes and the guest conversation.
How should I say guests cannot bring another person?
State the scope directly and neutrally: “This invitation is for [defined invited people], and the room and food plan cannot support additional guests.” Apply the actual policy consistently and provide a private contact for questions.
What time should a Christmas party invitation show?
Show the real arrival window, relevant food or activity time and honest finish. There is no universal party duration; use the host, room, neighbours, venue and journey plan.
When should I send a Christmas party invitation?
Send it early enough for the actual group to decide and for the host to close venue, food, access and travel requirements. If key facts are not approved, send a clearly provisional save-the-date and follow with a complete invitation.
