Afternoon Tea Calculator: Sandwiches, Scones and Cakes

Count the people choosing each category, edit the pieces per person and allocate sandwiches within the savoury total. Then use exact usable yields to make a printable shopping brief.

Pieces to shopping brief

Plan your afternoon tea

Start with your real party, then count the eaters in each category. Every rate and extra is visible. The initial example is a lunch-style tea for 12.

Eaters are actual people, not adjusted adult equivalents. Update each count if you change total guests.

Savoury pieces

Only add extras you have chosen for this category. No hidden buffer is added.

Scones

Only add extras you have chosen for this category. No hidden buffer is added.

Sweet pieces

Only add extras you have chosen for this category. No hidden buffer is added.

Editable starting rates: light tea 2 savouries / 1 scone / 2 sweets; lunch-style 4 / 1 / 2; substantial 5 / 1 / 3. These are editorial assumptions, not appetite guarantees.

Allocate the sandwich share

Sandwich pieces are part of the savoury total, not extra. Assign any remainder to other savouries.

Exact pack or full-batch yields

One identical product or recipe per category. For mixed cakes or scones, divide the target and calculate each product separately.

Keep surplus pieces and unused slices separate. No child fractions, safety approvals or hidden leftovers have been added. Use exact labels and recipes; the maths does not approve recipe resizing, storage or allergy suitability.

How much food for afternoon tea?

A starting lunch-style plan is 4 savoury pieces, 1 scone and 2 sweet pieces per person who will eat that category. For 12 people choosing all three, that is 48 savouries, 12 scones and 24 sweets before extras. These are editable editorial assumptions, not measured appetite or nutrition requirements.

For a lighter tea, try 2 / 1 / 2; for a more substantial tea, try 5 / 1 / 3. Change the visible rates in the form. Size, appetite and the rest of the menu can change your choices.

Sandwiches are a share, not another full menu

Enter the number of savoury pieces you want to be sandwiches. The remainder is for other savouries. Divide the sandwich target between fillings yourself; do not repeat the entire target for every filling.

This tool treats a full sandwich as two usable bread slices. Enter your actual cut yield and usable slices per loaf, excluding slices you will not use. A 48-piece sandwich target at 4 pieces per sandwich needs 12 full sandwiches and 24 slices; 20 usable slices per loaf means 2 loaves, leaving 16 unused slices.

Whole packs and full recipe batches

Whole packs = round up(target ÷ exact usable yield). Surplus = bought yield − target. Scones and sweets are each treated as one identical product or full recipe batch. For a mixed selection, divide the target into separate products and run the pack-value calculator for each. A yield does not authorise resizing a recipe.

Zero eaters with zero extras gives a zero target and zero packs. An explicit extra can still create a target. There is no hidden percentage buffer or automatic child allowance.

What this calculator does not decide

This is shopping arithmetic, not a recipe, allergy check, child-suitability assessment, storage plan or cooking timetable. Check exact current labels and full recipes. Choose safe preparation, supervision and food shapes for children; the calculator does not infer suitability from a guest count.

Food-safety and chilling guidance remain with the official sources below. Your completed brief is not saved as an account or shareable plan. Printing creates a copy on your device; do not put sensitive guest details in it.

Questions people ask

How many sandwiches for 20 people at afternoon tea?

If all 20 choose 4 savoury pieces, and all savouries are sandwiches, the target is 80 sandwich pieces. At 4 pieces per full two-slice sandwich, that means 20 full sandwiches and 40 usable bread slices. If some savouries are pastries, allocate a smaller sandwich share first.

Does this calculator halve portions for children?

No. Count actual eaters in each category and edit the visible rate. Children are not automatically assigned an adult fraction, and quantity calculations do not establish suitable food size or texture.

Can I print the afternoon tea shopping list?

Yes. Calculate your brief, then use Print this brief or your browser Print command. For blank guest, menu, shopping and task sheets, open the free printable library.
